Responding to a booking request
You got a booking link but don't have a CrewGrid account — here's how to verify it's you, then confirm, decline, or ask a question.
A production has asked you to work on a job and sent you a link by email. You don't need a CrewGrid account to respond — the link opens a simple page where you can confirm you're available, decline, or ask a question. This page walks through it.
The link is just for you
What you'll see
The page greets you by name and shows the essentials of the offer:
- The role you've been requested for and the project.
- The date window you'd be working, with an Add to calendar button.
- A Pay details section (see below).

Verify it's you first
To respond and to see your pay details, you first confirm your identity. Click Email me a code, and CrewGrid emails a 6-digit code to the address the production has for you. Enter it and click Verify. If nothing arrives, click Resend.
Once you've verified, the response buttons and your pay details appear. You only do this once per booking.
Pay details
After you verify, the Pay details section shows your Total agreed (base rates) and a per-day breakdown of the base rate for each day. These are base day rates only — overtime, rest penalties, and any extras are worked out with the production after the shoot wraps, so this is the shape of the pay, not a final invoice.
If no rate has been set on the booking yet, you'll see a note that your rate will be confirmed with the production instead.
Your options
Confirm you're available
Click Confirm availability. This tells the production you can do the job. It doesn't lock anything in on its own — the producer takes it from there and confirms the booking at their end, and you'll get a confirmation email once they do.
Ask a question first
Not ready to answer? Click Request clarification to flag that you have a question before deciding. You can add a note in the Optional notes box. The producer follows up, and the request stays open.
Decline
If you can't take the job, click Decline.
After you respond
You'll see a short confirmation that your response was recorded, and the production team is notified automatically. If you confirmed your availability, the note reminds you that the producer will lock the booking next.
You can reopen the link later to see the booking's current status — it stays available. If any call sheets cover your dates, they're listed on the page with a link to open them.
Common questions
Do I need an account? No. The link and a one-time email code are all you need.
Can I change my answer? Once you've responded, the link shows your status but no longer lets you respond. Contact the producer directly if your situation changes.
I think the link is broken or expired. If the page says the link is invalid, the producer may have withdrawn or already filled the booking. Get in touch with them.
