Call sheets

Call sheet basics

Create a call sheet from your timeline or by hand, then publish it.

A call sheet is the daily plan you send to cast and crew — who's needed, when, and where. In CrewGrid a call sheet is built from sections you arrange, and shared by link with exactly the people who should see it. Open the tool from Call Sheets in the project sidebar.

Creating a call sheet

Click + New. The New call sheet dialog opens:

  • Date — the date of the sheet.
  • Day # — which shoot day it is (for example "1", "1-2", or "Pre-prod day 2").
  • Title (optional) — a name for the sheet (for example "Shoot day 1 · Berlin").
  • Source — Manual (you build it yourself) or From timeline (CrewGrid fills the schedule and crew sections from your plan). Choosing From timeline lets you build from the Live timeline or a Snapshot, and set a Range start and Range end — leave both blank to use the call-sheet date for both bounds.

Click Create.

Building it out

A new call sheet opens in the editor, where you add and arrange sections — header, schedule, location, talent, crew, and custom notes. Sections built from the timeline can be refreshed as your plan changes; sections you write by hand stay as you left them. See Call sheet sections.

Time zones

Each call sheet carries a time zone (shown as Timezone: in the editor) so the times on it read correctly for the shoot's location — CrewGrid picks this up automatically when you create the sheet. This means the call times you and your recipients see match the plan, wherever anyone is reading from. See Sharing a call sheet.

Publishing

While you're building, a call sheet is a Draft. When it's ready, Publish it — or Publish + Notify to publish and email everyone on your personalised shares at once. Publishing makes the sheet available to the people you share it with, and the badge changes to Published. Publishing isn't one-way: Unpublish takes it back to a draft while you make changes, then publish again. (Existing share links keep working until you delete each share.)

Sharing

Publishing makes a call sheet ready; shares decide who actually gets it and what they see. See Sharing a call sheet.
