Calendar and availability

Track your work in a calendar, subscribe from Apple or Google, and share an availability hint with producers.

The Calendar brings all your work into one view and, if you choose, lets producers see a simple hint of how free you are — without ever exposing your actual schedule. The calendar and availability sharing are Pro features. On the Free plan you'll see a prompt to upgrade in their place.

Your calendar

Open Calendar from your sidebar. It shows:

  • Your bookings, added automatically.
  • Manual entries you add yourself — other work, holds, vacations, and personal time.

Switch between a Month grid and an Agenda list, move through months with the arrows and Today, and open any day for detail. Booking bars link straight to the booking.

Adding an entry

Click Add entry and fill in:

  • Title.
  • Type — External project, Personal, Vacation, or Tentative hold.
  • From / To dates.
  • Optional client and notes.

Save with Save entry. You can edit or delete an entry later.

Manual entries block your availability

Bookings sync automatically; the entries you add by hand tell producers (through the availability hint, below) that you're busy on those days. This is how you keep your availability honest even for work that isn't in CrewGrid.

Subscribing from Apple, Google, or Outlook

Your calendar can be followed from the calendar app you already use. In the Calendar sync card, copy the subscription link and add it in Apple Calendar, Google Calendar, or Outlook as a subscribed calendar. It's read-only — your CrewGrid bookings show up alongside your other events.

If you ever need to cut off access to the old link, use Rotate link to generate a new one (the old one stops working).

Sharing your availability with producers

When a producer is about to book someone, they can see a traffic-light hint of your availability — without seeing any of your actual events.

  • Green — free or very likely available.
  • Amber — close to other work or partly blocked.
  • Red — mostly blocked.
  • Hollow grey — you haven't shared with them.

You're always in control of who sees this. Open Manage sharing (from the calendar) to reach the Availability sharing page, where you can:

  • Turn on Share by default with new organizations, or share per-organization.
  • Enable for all or Disable for all the organizations you work with.

Producers only ever see the colour — never your bookings, entries, or titles.

Connecting your other calendars

You can also connect an outside calendar (from Apple, Google, or another service) so that time you're busy elsewhere feeds into your availability hint automatically. In the Connected calendars card, add a label and the calendar's address, then Connect calendar. CrewGrid reads only your busy times to colour the hint — your event titles never leave your calendar. Remove a connected calendar any time.
