Notifications
What CrewGrid notifies you about, how the emails reach you, and how to tune — or quiet — them to your liking.
CrewGrid keeps everyone on a production informed without you having to chase people. When something changes that affects you — a booking request, a schedule change, a message — CrewGrid sends you an email. This page explains what triggers those emails and how to control them.
What triggers a notification
Notifications are grouped into six areas, and you can tune each one separately:
- Bookings — someone requests you for a job, responds to your request, or a confirmed booking's dates change.
- Rate cards — proposals, counters, and the approval steps when rates change on a confirmed booking.
- Schedule adjustments — day-by-day changes to a booking that need the other side's agreement.
- Call sheets — you receive a call sheet, or one you're on changes.
- Messaging — direct messages and group conversations.
- Account & system — invitations, billing, and security.
The important ones — anything that affects your pay, your dates, or needs your approval — are on by default. Minor updates (like small wording changes to a call sheet) are off by default so your inbox stays calm.
Today, email is the delivery channel; the settings page also lists In-app, SMS, and Push as Coming soon.
Changing your notification settings
Your notification settings are personal — they apply to you across every organization you belong to.
Click the mode chip in the top bar to open the role switcher, then choose Notifications. (In your personal space, it's also in the sidebar under Personal Settings.)
Open a category — Bookings, Rate cards, Schedule adjustments, Call sheets, Messaging, or Account & system — and tick or untick the events you want. Anything you change shows a ↺ Reset link to put it back to the default.
To silence a whole area at once, tick Mute category on its header. Send test emails you a sample so you can see what a notification from that category looks like.

A Reset all to defaults button at the bottom clears every override you've made.
Quiet hours
Set Quiet hours at the top of the same page — a start time, an end time, and your timezone — and CrewGrid holds non-urgent email during that window. Urgent events (booking responses, billing, security) still come through.
Security emails — verification codes, password resets, and the like — always arrive immediately, no matter what your settings say. They can't be muted.
Muting a single conversation
If one conversation gets noisy, you don't have to touch your settings. Open the conversation and click Mute in its header, then pick Mute for 8h, 24h, 48h, or 72h. This pauses push notifications for that conversation only — the messages themselves, and any email notifications, are unaffected. The button shows Muted until the time it expires, and you can Unmute early at any time.
For producers: Live mode
While you're still shaping a plan, a project's Live mode setting holds back CrewGrid's automatic emails when you push schedule changes out — you decide on each re-seed whether to notify people. See Project settings.
