Organizations

Your team and roles

Invite people to your organization and understand what Owners, Admins, Producers, and Viewers can each do.

An organization is a team, and each person on it has a role that decides what they can do. This page explains the roles and how to invite people. Find it under Settings → Team.

The roles

CrewGrid has four organization roles:

  • Owner — full control, including billing and deleting the organization. Every organization has an owner.
  • Admin — manages the organization, its team, projects, and settings. Can invite and remove members and change roles.
  • Producer — works on productions: budgets, timelines, staffing, and call sheets. Can view organization settings but not change them, and can invite Viewers only.
  • Viewer — read access, for people who need to see but not change things (a client contact, an accountant).

As a rule of thumb: Owners and Admins run the organization; Producers run productions; Viewers look on.

Inviting someone

On the Team tab, use Invite a new member:

Enter their Email address.

Choose their Role.

Click Send invite.

They receive an email invitation. When they accept — signing in or creating an account with the invited email — they join your organization with the role you set. Pending invitations show under Pending invitations, where you can Resend or Revoke them.

Producers can invite Viewers only

If you need to add another Producer or an Admin, an Owner or Admin has to send that invitation.

Managing members

For each member you can change their role or remove them (removal asks for confirmation — they lose access immediately, but their past bookings and messages stay). You can't remove the Owner. The Team tab also shows how many members you have against your plan's limit — for example "8 / 15 members" — with a warning as you approach it.

Member limits

Each plan allows a certain number of members:

Free2
Starter5
Professional15
EnterpriseUnlimited

When you reach the limit, inviting more is blocked until you upgrade. See Billing and plans.
