Linking crew and roles
Connect timeline streams to the crew roles that work them, so schedules stay in step with your plan.
The timeline is most useful when it knows who works what. Linking connects a timeline stream to the crew roles that work on it. Once linked, CrewGrid can build each person's schedule straight from the timeline when you create or re-seed their booking.
This page assumes you've set up crews and roles in Contacts — see Crews and roles.
How linking works
You link a stream (say, "Camera Dept") to the roles that work it (say, "1st AC" and "2nd AC"). Open the stream's ⋮ menu and choose Link Crews / Roles. From then on, the times of the items on that stream define those roles' working days. When you build a booking for one of those roles from the timeline, it inherits that schedule.

Why it matters
Linking is what lets a single change to the plan reach the right people — but, true to CrewGrid's design, only when you push it. If you move a camera stream's items to different days, the linked roles' schedules would change — and CrewGrid flags the affected bookings as out of sync (and the budget shows drift) so you can re-seed them when you're ready. Nothing changes on the crew's side until you do. See How scheduling works.
If you change which roles a stream is linked to, CrewGrid works out the new schedules and flags the affected bookings the same way — there's no separate step to worry about.
Where to go next
- Crews and roles — set up the roles to link.
- Sending a booking request — build a booking from the timeline.
- Re-seeding bookings — push a changed plan to a booking.
- Propagating changes — push to everything at once.
