Tutorial: your freelancer setup

Step 2: respond to your first booking

Find a booking request, open it, and confirm your availability, decline, or ask a question first.

When a producer books you, the request shows up in CrewGrid (and you'll usually get an email too). In this step you'll find the request, read it, and answer it — and see what happens after you do.

Spot the request

Your Overview page — the first thing you see in your personal space — collects everything waiting on you under Pending requests, with a Respond → link on each booking request. You can answer from there, or open My Bookings in your sidebar to see every job across all the organizations you work with, grouped into Pending requests and Upcoming bookings.

Read the card

Each card shows the project, the role, the organization, the dates, and a status label — a new request reads Requested. If the job overlaps with another booking of yours, a ⚠ Overlapping marker appears so you can spot the clash before you answer.

Open it and respond

Click Open booking to see the full details, then choose:

  • Confirm availability — tell the producer you can do the job.
  • Decline — turn it down.
  • Needs clarification — flag a question before deciding.
  • Confirm with conditions — accept, but propose a change at the same time (a different rate for a travel day, an extra item, and so on).

The quick answers — Confirm availability and Decline — are also right on the card if you don't need the detail. The booking always shows a short hint about what happens next, so you're never guessing.

Know what your answer means

Confirming availability doesn't lock the job in on its own. The status moves to Pending while the producer confirms at their end, then to Confirmed once they do. If your plans change while you're waiting, open the booking and use Withdraw availability — the producer is notified and can book someone else.

Watch for re-confirmation

If something changes later — say the schedule shifts after you agreed — the booking may come back marked Awaiting re-confirm, with a Re-confirm chip on your dashboard. Open it and choose Confirm or Decline again.
