Tutorial: your freelancer setup

Step 3: track your calendar

Keep all your work in one calendar and share an availability hint with producers.

The calendar brings all your work — CrewGrid bookings and everything else — into one view, and can show producers a simple hint of how free you are without ever exposing your actual schedule.

The calendar is a Pro feature

The calendar and availability sharing need Pro. On the Free plan you'll see a prompt to upgrade in their place — but your bookings themselves are unaffected: My Bookings and your Overview page still show every job and pending request on any plan. If you're on Free, skim this step so you know what Pro adds, then jump to "Where to go next".

Open your calendar

Open Calendar from your sidebar. Your bookings are already there, added automatically. Switch between a Month grid and an Agenda list, move through months with the arrows and Today, and open any day for detail. Booking bars link straight to the booking.

Add the work that isn't in CrewGrid

Click Add entry and fill in a Title, a Type (External project, Personal, Vacation, or Tentative hold), the From / To dates, and an optional client and notes. Save with Save entry.

Manual entries matter: they tell producers — through the availability hint below — that you're busy on those days, so your availability stays honest even for work booked elsewhere.

Subscribe from the calendar app you already use

In the Calendar sync card, copy the subscription link and add it in Apple Calendar, Google Calendar, or Outlook as a subscribed calendar. It's read-only — your CrewGrid work shows up alongside your other events. If you ever need to cut off an old link, Rotate link generates a new one and the old one stops working.

Share an availability hint with producers

When a producer is about to book someone, they can see a traffic-light hint of your availability: green (free), amber (partly blocked), red (mostly blocked), or hollow grey (you haven't shared). They only ever see the colour — never your bookings, entries, or titles.

Open Manage sharing from the calendar to control who sees it: turn on Share by default with new organizations, share per-organization, or use Enable for all / Disable for all.

Optional: connect your other calendars

In the Connected calendars card, add a label and your outside calendar's address, then Connect calendar. CrewGrid reads only your busy times to colour the hint — your event titles never leave your calendar.

That's the tutorial done: you're findable, you know the booking flow, and your availability takes care of itself.
